Information we collect

Depending on the service used, OASIS may collect:

  • Player identity details such as name, date of birth, nationality, age group, programme and position.
  • Parent or guardian name, relationship, email address and mobile number.
  • Attendance records, session information, coach assessments, development objectives and family-visible reports.
  • Private internal coaching or academy notes, accessible only to authorised staff.
  • Medical or support information a family chooses to provide for safe participation.
  • Payment status and paid-through dates. OASIS does not store full payment-card details in the player portal.
  • Account-security information such as login attempts, session records and consent history.

Why we use information

Information is used to review applications, manage memberships, assign players to programmes and coaches, record attendance, prepare development assessments, communicate with authorised families, administer fees, protect accounts and meet legal or safeguarding responsibilities.

OASIS does not sell player or family information. We do not use private coaching records for unrelated advertising.

Children and parental consent

A parent or legal guardian must provide clear consent before a minor's private development record can be viewed through the family portal. An adult player aged 18 or over may consent for themselves.

The portal records the consenting person's name, email, relationship, date and the version of this notice accepted. Consent may be withdrawn by contacting OASIS. Withdrawal does not affect processing already carried out lawfully, but it may limit OASIS's ability to provide portal and player-development services.

Who may receive information

Access is limited according to role. Assigned coaches see the players they support. OASIS administrators manage academy records. Parents, guardians or players see only the record linked to their private code and PIN.

OASIS may use trusted technology, hosting, communication or payment providers where necessary to deliver services. Information may also be disclosed where required by UAE law, safeguarding duties or a lawful authority. Some service providers may process information outside the UAE; OASIS will use appropriate security and contractual safeguards where required.

How long information is kept

Active player recordsWhile enrolled

Kept while the player receives OASIS services and the record remains necessary.

Former player records24 months

Reviewed for secure deletion or anonymisation after the player leaves or the last academy activity.

Unsuccessful applications6 months

Kept briefly for follow-up, safeguarding and application administration, then reviewed for deletion.

Legal or financial recordsAs required

Some records may be kept longer where UAE law, a dispute, safeguarding or accounting obligation requires it.

OASIS may retain anonymised information that no longer identifies a player or family for academy planning and service improvement.

Your privacy choices and rights

Subject to applicable law, a player, parent or guardian may ask OASIS to:

  • Confirm whether personal information is held and provide access to it.
  • Correct incomplete or inaccurate information.
  • Delete information that is no longer required, where no legal reason requires retention.
  • Restrict or object to certain processing.
  • Provide eligible information in a portable format.
  • Withdraw consent for future consent-based processing.

OASIS may need to verify the requester's identity and relationship to the player before completing a request.

How information is protected

OASIS uses role-based coach access, private player codes and PINs, hashed passwords and PINs, expiring sessions, login-rate limits, audit records and restricted internal notes. Families should keep access details private and contact OASIS immediately if they believe a code or PIN has been shared.
